Proof of pickups (POPs) and proof of deliveries (PODs) are key components of the system, which allow you to submit images, signatures and comments as proof that you have picked up or delivered an item to/ from an address. To enable a POP/ POD in Allotrac.io, you must ensure it is configured against the address you're pickup up from (POP), or the address you're delivering to (POD)
1. Navigate to https://app.allotrac.io/ and log in to your Allotrac.io site
There are three different methods of enabling POP and POD, however it is the address configuration that takes priority over all
2. To enable POP or POD globally and set the standard for all newly created contacts within your Allotrac.io site moving forward, click the "Configure" tab from the side menu
If you don't want to globally enforce POP or POD against all contacts, and want this enabled for a few specific contacts or specific addresses, skip forward to step 18 of this guide
3. Then click the "Site Settings" button from the drop down menu
4. Click the "Notifications" tab
You will now be looking at the global POP/ POD configuration settings. Please note, that whatever you set here will be the default configuration for any new contacts created moving forward
5. Click the "POP" checkbox if you want to enforce the capturing of a proof of pickup as the default for your new contacts
6. Click the "POP Image Required" checkbox if you want to make it mandatory to capture images as a default for your new contacts
7. Click the "Communication Proof" field
8. Click "Billable" from the dropdown if you want the Billable contact to automatically receive the POP email
9. Click "Origin" from the dropdown if you want the Origin (pickup) contact to automatically receive the POP email
10. Click "Destination" from the dropdown if you want the destination (delivery) contact to automatically receive the POP email
11. Click the "POD" checkbox if you want to enforce the capturing of a proof of delivery as the default for newly created contacts moving forward
12. Click the "POD Image Required" checkbox if you want to make it mandatory to capture images as a default for your new contacts
13. Click the "Communication Proof" field
14. Click "Billable" from the dropdown if you want the Billable contact to automatically receive the POD emails
15. Click "Origin" from the dropdown if you want the origin contact to automatically receive the POD email
16. Click "Destination" from the dropdown if you want the destination contact to automatically receive the POD emails
17. Click the "SAVE" button to save these changes. Once you click save, Allotrac will now use this as the default for your newly created contacts and their addresses
Now that you have configured the default setup for all newly created contacts and their new addresses, you now need to know how to update the configuration on a contact and address level.
This next piece is critical if you already had contacts and addresses in the system prior to updating your global notification settings, as updating the global configuration will not update the pre-existing contacts and addresses
18. Click the "Manage" tab from the side menu
19. Select "Contacts" from the drop down menu
20. Click on the contact that you would like to configure POP or PODs for from your manage contacts screen
21. Click the "Notifications" tab
22. You will now be looking at the contact's POP/ POD configuration. From here, you can edit this if you wish to
23. Click the "Manage Addresses" button
24. You will now be looking at a list of addresses registered to this contact. Click on the address that you would like to configure POP/PODs for
25. Click the "EDIT" button
26. Click the "Notifications" tab
27. Click the "POP" checkbox if you want to enforce the capturing of a proof of pickup when this address is used as the pickup address in a job
28. Click the "POP Image Required" checkbox if you want to make images mandatory when a driver captures a proof of pickup when at this address in a job
29. Click the "Communication Proof" field
30. Click "Billable" from the dropdown if you want the billable contact in a job to automatically receive the POP email when a pickup is done at this address
31. Click "Origin" from the dropdown if you want the origin contact in a job to automatically receive the POP email when a pickup is done at this address
32. Click "Destination" from the dropdown if you want the destination contact in a job to automatically receive the POP email when a pickup is done at this address
33. Alternatively, if this address was used as a delivery address, click the "POD" checkbox if you want to enforce the capturing of a proof of delivery when this address is used as the delivery address in a job
34. Click the "POD Image Required" checkbox if you want to make images mandatory when a driver captures a proof of delivery when at this address in a job
35. Click the "Communication Proof" field
36. Click "Billable" from the dropdown if you want the billable contact in a job to automatically receive the POD email when a delivery is done at this address
37. Click "Origin" from the dropdown if you want the origin contact in a job to automatically receive the POD email when a delivery is done at this address
38. Click "Destination" from the dropdown if you want the destination contact in a job to automatically receive the POD email when a delivery is done at this address
39. Click the "SAVE" button to save your changes. If you have enabled POP for this address, jobs using this address as a pickup address will inherit these rules that you have set up. If you have enabled POD for this address, jobs using this address as a delivery address will inherit these rules that you have set up
You now know how to enforce proof of pickup and proof of delivery on your drivers jobs. It is crucial to note however that it is always the address POP/ POD configuration which takes priority, so if you do have jobs where you believe it is not enforcing a POP or a POD, please open up the pickup address or delivery address and double check that you have enabled it.
