How to create a new project

A project in Allotrac.io is a repeating job that is carried out for an extremely high volume of loads over a period of time

1. Navigate to https://app.allotrac.io/and log in to your Allotrac.io site

2. Click the "Create" button from the home screen

3. Click the "Projects" button from the drop down menu

4. Click the Job Reference field if you wish to assign a reference to this project. This is generally used to attach your client's purchase order number, or is commonly used as an internally used naming convention job number for a project. If you don't assign the project a job reference, there is no need to worry. We create an "Allotrac Project ID" for every project in your system for you.

5. Click the "Project Name" field and type in a name for this project

6. Click on the calendar button within the "Job Date" field. Because a project is expected to run over a period of time, this date is the start date for the project

7. This will prompt the calendar. Use it to assign a start date for this project

8. Click on the calendar button within the "Close/Alert Date" field. Because a project is expected to run over a period of time, this date is the end date for the project. Please note that this is not a mandatory field

9. This will prompt the calendar. Use it to assign an end date for this project

10. Click on the correct "Job Type" as shown below. Currently, within Allotrac.io, there are three different types of jobs:

  1. Pickup and Delivery:

    • A pickup and delivery job is a load of product being transported from location a to location b

  2. Hourly Hire:

    • An hourly hire job is a job where you do not know the information with regards to the job. This is for when your customers ask for a truck and operator to come do some jobs for them

    • With this job type, the driver simply keys in the start time, end time, any return time information, as well as some basic Hourly Descriptions for your invoicing and reporting purposes

  3. Pickup Only:

    • A pickup only job is a load of product that is being picked up from your site or yard, by the customer

    • This is facilitated by the use of our Kiosk mobile application

Depending on which job type you select here, all jobs derived from this project will be this job type

11. Click the "Fleet" field and select the correct fleet to assign this project to. Please note that this is not mandatory to create a project

12. Click the "Client Company" field. The "Client" on your Project will be the billable client who will be paying for every job derived from this project.

13. Type in the Client Company name. Once the suggested results show in the drop down menu, click on the correct one.

14. Click the "Supplier Company" field and type in the name of the contact where you are picking the loads derived from this project up from

15. Select the correct Supplier contact once the suggested results load

16. Click the "Pickup Location" field and type in the exact address that the drivers will be loading jobs from this project at.

17. Click the "Customer Company" field and type in the name of the contact where you are delivering these project loads to.

18. Select the correct Customer contact once the suggested results load.

19. Click the "Deliver Location" field and type in the exact delivery address as well.

20. Click the "Items" field and type in the name of the product that you will be transporting in these Project jobs

21. Once the suggested Items load, click on the correct one via the drop down suggestions

22. Click the "Quantity" field and type in the quantity of product that will be transported in this Project. Please note, that because this is the project's creation, the qty will be the total qty required for the whole project, which may be in some instances, hundreds of thousands, if not, millions of tonnes

23. If this project will involve more than one type of item, click on the blue " + ADD" button located on the right hand side of the window. You can have multiple different types of items within one project

24. Click the "Drag & Drop or Click to Browse" button to attach any relevant files or documents to the project. These files will be accessible for the drivers when they're progressing through these project jobs

25. Click "SAVE" to add the project into your system

You have now created this project within your Allotrac.io instance. This project will now be ready to derive jobs from, for allocation and driver completion purposes
