How to create a new item

1. Navigate to https://app.allotrac.io/ and log in to your Allotrac.io site

2. Click the "Manage" tab from the side menu

3. Click "Items" from the drop down menu

4. Click the "ADD ITEM" button

5. Select whether this new item will be a physical item that will be transported by your vehicles, or whether this new item will be a charge, such as a surcharge or levy etc

6. Enter in an "Item Name"

7. Enter in an "Item Code"

8. If you have any labels configured in your site, select the correct one here

9. If you wish to make this a sellable item in your site, click the "Can Sell" tick box. Once you do this, this item will now be an invoiceable item

10. If you wish to make this a purchasable item in your site, click the "Can Purchase" tick box

11. If you have any, select the correct Income Category to assign to this new item here

12. If you have any, select the correct Expense Category to assign to this new item here

13. Add the primary unit of measurement for the item by clicking on the "Primary Unit" field

14. From the drop down, select the correct primary unit to assign to this new item

15. If you want your driver to be able to edit the primary unit quantity when they are processing jobs using this item, click the "Capture Job Actuals" tickbox

16. If you also need to measure this item using a secondary unit as well, click the "Secondary Unit" tickbox

17. Select which secondary unit type that you need. In this example, we will select volume as the secondary unit

18. From the drop down, click the "Unit" field

19. You will then be presented with all volume unit types. In this example, we will select "Cubic Metre" as the secondary unit

20. The "Multiplier" field is where you advise how many secondary units are equal to 1 primary unit. For example, lets say that the primary unit for an item is tonne and the secondary unit is cubic metre. If you type in 0.6 as the multiplier, Allotrac will now treat this item as 1 tonne = 0.6 cubic metres moving forward.

21. Enter an "Offset" to allow for some variation. For example, this may be beneficial for bulk items like sand or mulch which will get heavier if wet. If this is not applicable, just leave this as 0

22. If you are unsure of your multipliers or offsets, the "Conversion Factor Equation" will visually show you what you have configured for this new item. If this is incorrect, please go back and adjust your multiplier and/ or offset

23. If you want your driver to be able to edit the secondary unit quantity when they are processing jobs using this item, click the "Capture Job Actuals" tickbox

24. Additional to Volume Units, you can also use length, time, temperature, velocity and amount units as secondary units of measurements for items as well

25. Click the "Item Comments" field and enter in any comments you wish to attach to this item

26. Click the "SAVE" button to save your changes

You have now created this item. You will now be able to use this item in jobs within your Allotrac.io site
