How to use the allocation screen

1. Navigate to https://app.allotrac.io/and log in to your Allotrac.io site

2. Click "Operate" from the home screen

3. Click the "Allocation" button from the side menu

4. You will now be looking at the job allocation screen. Down the left hand side of the screen are the vehicles in your instance

5. On the right hand side of the screen are the individual job tiles

In the job allocation screen, the job tiles will change in colour, depending on the status of the job;

  1. Orange Job Tile:

    • An orange job tile indicates that the job is in an idle state. This job has not yet been started by the driver.

  2. Blue Job Tile:

    • A blue job tile indicates that the job is currently in progress.

  3. Green Job Tile:

    • A green job tile indicates that the job is completed. This job is now ready to be reviewed and invoiced if your customer still has not yet paid for the job

7. If you wish to allocate for a different date than today's date, click the job date filter

8. Click the desired date from the calendar

9. If you have multiple shifts in a day, click on the shift filter and select the shift that you wish to allocate for

10. Click the desired shift that you wish to allocate for. This will then filter your allocation screen

11. If you wish to assign a driver to a vehicle, you can click on a vehicle tile and select a driver to assign to it

12. Search for the driver that you wish to assign to this vehicle and click on their profile

13. Click "Save" to assign this driver to the vehicle

14. Click the "magnifying glass" button in the top right hand corner to filter out your unassigned jobs columns

15. Select the correct filters via the drop down menu

16. Click the "ADD" button if you want more than one filter on your unassigned jobs

17. Click the "Spanner" button to customise your allocation screen

18. Click the "Vehicle Tiles" field to customise the information displayed on the vehicle tiles

19. Select the different information you wish to be present on the vehicle tiles

20. Click the "Job Tiles" field to customise the information displayed on the job tiles

21. Select the different information you wish to be present on the job tiles

22. Click the "Screen Layout" field to customise the information displayed on the job allocation screen

23. Select the different information you wish to be present on the job allocation screen

24. Select the different information you wish to be present on the job allocation screen

25. If you have multiple views saved on your allocation screen, click the View filter to swap views

26. Click the "Add new view" button if you wish to create a different allocation view

27. Type in and assign this new view with a name

28. Click "Save" to save this new view

29. Select the correct view from the drop down filter

30. Click the "SAVE" button to enforce your customisation

31. To allocate a job to a vehicle, click and hold on a job tile

32. Drag the job tile all the way across to a vehicle tile and drop it in the intended vehicle's run

33. To allocate another job to this same vehicle, click and hold on the 2nd job tile

34. Also drag the second job tile all the way across to a vehicle tile and drop it in the intended vehicle's run

35. If you wish to "group" these two jobs, drag the second job on top of the first job, until you're presented with the "Group" option

36. When the "Group" option appears, let go of the job tile and let go of the job tile on in the group space to group these two jobs together

A grouped job is useful for when your vehicles will have more than one job loaded onto the truck at a time. With individual jobs, you have to complete the delivery of a job before you can start the next one. With a grouped job, you can have the ability to load multiple jobs onto the truck and trailers at once if you want

37. It will then look like the below:

38. The pickups and deliveries within the grouped job, are titled as P1, P2, P3, D1, D2, D3 etc

39. If you want to rearrange the pickups or deliveries in a more efficient order, you can click and hold down on the individual pickup or delivery and drag it in between the others

40. Once you've dragged the pickup or delivery to where you want it situated within the group, let go of it to drop it into the correct place in this vehicle's run

You now know how to use the job allocation screen. Once you have allocated these jobs to your vehicles, your drivers will now be able to process them
